Homepage: Your Personal Assistant

Welcome to the Homepage, your personal assistant. When you walk into the gym and open your app, the first thing you see is your Homepage.

Just as a personal assistant, It highlights everything that needs your immediate attention, and action.

• Who you need to follow up with

• How your business is performing

• Which clients are walking in today

• Which clients are soon due for renewal, and

• Which clients are at risk

It’s not just a dashboard with information. It’s your daily game plan,telling you what to do next. Most importantly: Check each section, then follow it with action.

First up, in the top-right corner, you’ve got your Notifications Center.

This is where you’ll see real-time updates. Once you’ve checked all notifications, the icon clears itself. Once you open the notification page, you can tap on any notification to view the full details.

Just below that, you’ll find your real-time progress toward your monthly session and revenue goals, displayed as a loading bar showing whether you are moving at a solid pace towards your targets, or if it’s time to ramp things up. Want to hide or show it? Just tap the eye icon.

Next, your Upcoming Workouts.

This section shows you your upcoming sessions so you never miss an appointment.

No sessions booked yet? This section will be empty.

Need to remind a client about their upcoming workout? Just tap the bell icon & they’ll instantly get a notification on their app. Just a heads up - you need to wait 12 hours before sending another reminder.

Below that, you will see Client due for renewal.

You’ll see three tabs here: Fast Track, PIF, and EFT clients.

We dive into each of these in a separate video, but here’s the big picture.

This section is your safety net for client retention. It helps you stay one step ahead, so clients don’t run out of sessions, renewals are never last-minute, and everyone stays consistent in their fitness journey. The clients at risk section is your early warning system. It highlights the clients who are at a higher risk of churn, and need your attention right now, before they drop off the radar. To get the full picture on how the Clients at Risk feature works, what each color means, and how to turn red flags into green, watch the Clients at Risk video. A strong client base and solid retention are the backbone of any successful PT business. This feature gives you the tools to stay on top of both.

At the bottom of the screen, you’ll find your action buttons:

  • Schedule a Session with just a few taps
  • Create Workouts or Programs customized for each client.
  • And send workouts directly to your clients, so they have something to follow on their own when they’re not training with you.

The Homepage tells you what’s coming up, what needs attention, and which clients might fall off track if you don’t act.

Instead of running from one session to the next, not knowing what you need to do and how to run your business, this page puts it all in one place, so you can show up ready and grow your business.

You’ll see 3 tabs here: Fast track clients, PIF clients, and EFT clients.

Fast Track flags clients who are on an EFT package, and are training more often than their plan. For example, if someone’s on a 2 times per week EFT package, but is consistently doing 3 sessions a week, they’ll burn through their sessions before the renewal date. That’s an opportunity to upsell them to a higher frequency package. Use Fast Track to stay ahead of the curve, spot high-engagement clients early, and guide them into a plan that matches their momentum.

PIF Clients are on pay-in-full packages, and this section shows how many sessions they have left. When a client drops to 3 sessions, it’s the time to start planning renewal of their package. Check in, revisit their goals, and start the conversation about their next training block. That way, the client is already in the mindset of renewing their package, by the time the renewal time comes. You avoid having clients running out of sessions, and ensure uninterrupted continuity of their training. Use this feature to make renewal feel like a natural next step, not a last-minute decision.

The EFT tab shows you your EFT clients, along with their remaining sessions, billing frequency and interval.

All of this lets you stay proactive, so no client slips through the cracks, and their fitness journey stays on track.

The clients at risk section is your early warning system. It highlights the clients who are at a higher risk of churn, and need your attention right now, before they drop off the radar.

There are five key retention triggers, which are critical actions that, if left incomplete, can lead to client disengagement: Let’s break down the five triggers that signal a client might be at risk of dropping off.

  • First- missed payment. If their billing with the club is overdue, that’s a major alert.
  • Next - session one not completed. That’s your cue to follow up and make sure the session one is scheduled and conducted.
  • Then there’s the missed progress check. Without regular checkpoints, it’s easy for motivation to dip.
  • Fourth, no session in the past 7 days. If the client hasn’t trained in a week, they’re starting to fall off rhythm.
  • And finally, no upcoming sessions booked in the next 7 days. If they’ve got nothing on the calendar, they might already be checked out.

Each of these triggers carries a different weight, so the system scores them accordingly.

  • If any of the first three are true - missed payment, session one not completed, or a missed progress check - the client is flagged as high risk, and marked in red.
  • If either one of the last two are true - no session in the past 7 days, or no upcoming sessions - they’re marked medium risk, in yellow.
  • But if both of those last two are true, that’s a clear sign they’ve gone off track, and they’ll be marked in red, as high risk as well.

This scoring system helps you prioritize who needs support most, so you can step in before it’s too late. Remember to turn all those reds and yellows into greens! The quicker you act, the better your chance of keeping these clients engaged and consistent.
