Cancelling Sessions

Sometimes, you will need to cancel a session. Life happens, maybe a client can’t make it, or your schedule needs adjusting. Canceling a session can be done from your calendar, or from your client’s profile.

Head to your calendar and find the session you want to cancel. Click on it to open the session details, then click Cancel session.

You’ll be asked to choose a reason for the cancellation. Select the one that fits, then tap Cancel Session to proceed.

Charging for late cancellations depends on your gym’s policy. For example, if the policy is 24 hours and a client cancels less than 24 hours before the session, you’ll see a pop-up asking whether or not to apply a charge. If the cancellation falls outside that window, the session will be canceled without any prompt to charge. Be sure to check with your management to confirm the specific rules and time frame at your location.

If you choose to charge, the client will get a real-time notification explaining the session was canceled with charge. From there, they can either acknowledge the charge or dispute it.

Disputes are reviewed by your manager, so make sure your reason is clear, fair, and accurate.

If you're canceling a session that was part of a recurring booking, you'll see a pop up asking whether you want to cancel just that one session, or the entire series. Keep in mind, this will only cancel that specific set of repeated sessions you booked together, not all future sessions with that client.

Choose what applies, click Confirm, and continue to select the reason for cancellation.

Clients will receive a single notification summarizing all cancellations.

Cancellation logic ensures that only future sessions with "Confirmed" and "Ready to Start" statuses are affected.
