Client List: Your Network, Your Power

Your Client List isn’t just a database - it’s your dashboard for success.

This is where you keep tabs on every client, track your impact, and make sure no one slips through the cracks. From seeing your PIF clients, PT prospects,active and inactive clients, as well as Clients at Risk - it all starts here.

At the top of the page, you’ll find the search bar and filter tool. Need to find someone fast? Tap the search bar, and type in their name, phone number, email, or member number - or just scroll through the list.

Use filters to sort clients by club.

Right under, you will find your clients sorted into smart categories.

  • PIF are your active clients with a Pay-in-Full package.
  • PT Prospects are clients who completed their first trial session, but have not yet purchased a package! Great for follow ups!
  • Active Clients are those who trained or booked a session in the last 30 days.
  • Inactive Clients are your clients without bookings or conducted sessions in the last 30 days, and
  • Clients at risk are your clients who are at high or medium risk of churn.

Pro move is to Treat this list like your daily checklist. This isn’t admin - it’s strategy.

Your clients are your business. Own that. Follow up, reconnect, and lead them forward.

Clients at Risk, my clients, and all members.

Clients at Risk are also shown on your homepage, but only three will appear there. To view the full list of all clients at risk, head to the Client List tab. Clients at Risk are those clients who need extra attention due to issues like missed payments, missed session one, missed progress checks, no sessions conducted in the past 7 days, and no upcoming sessions scheduled. Tasks awaiting completion will be highlighted in red, while completed ones will be displayed in green.Check out the Clients at Risk video for a full breakdown of how the feature works and how to take action.

The My Clients tab shows all the clients that purchased a package with you, and the All Members section lists all gym members who haven't completed Crunch One or haven't purchased a package with a trainer. As soon as a member buys a package with a trainer, this client moves from the all members list, to my clients.

To find a specific client, you can scroll through the list, use the search box, or apply filters.

Type a client’s name, phone number, email, or member number, in the search box to quickly locate them. The filter feature allows you to sort clients based on their activity status: active clients are those who have scheduled  at least one session in the past 30 days. Click the Apply button to filter clients based on your selection, and use the Clear Filters button to reset the filters.

Clicking on a specific client will take you to their profile. For more details, refer to the Client Profile video.

All members tab is where you’ll see all gym members who haven’t yet completed Crunch One or purchased a package with a trainer.  This is where you will look when scheduling a kickoff with a new potential client. This database is connected to ABC, and if you can’t find a specific member in the list, you can easily sync them  from ABC. Let’s see how to do that. If you type a client's name or number, and you can’t find them, you can either scan their barcode from ABC, or click find new client to manually sync them. You can search unsynced clients using Barcode, Phone number or Email. Let’s say you want to sync using a phone number. Select phone number, enter their number and tap sync client.

Here’s what you might see in the results

  • Client Not Found means the client is not in the system.
  • Client Already Assigned shows if this client is already working with another trainer.

Success

shows when you've successfully synced the client to your All Clients list.
