Retention is the backbone of a stable, profitable personal training business. But clients don’t always tell you when they’re slipping, until it’s too late.

That’s where the Clients at Risk feature comes in. This feature flags clients who are at a higher risk of churn, and are showing early signs of disengagement, so you can take action before they fall off track.

You’ll find your Clients at Risk listed right on the Homepage, each one flagged in green, yellow, or red based on urgency and likelihood of dropping off.

This color-coding is driven by five key retention triggers, which are critical actions that help keep clients engaged. When any of these actions are missed, the system raises a flag so you can step in before it’s too late. Your goal? Turn reds and yellows into green, and make sure no client is at risk of churn. Let’s see what these retention triggers are.

  • First- missed payment. If their club account is past due, that’s a major alert.
  • Next - session one not completed. That’s your cue to follow up and make sure the session one is scheduled and conducted.
  • Then there’s the missed progress check. Without regular checkpoints, it’s easy for motivation to dip.
  • Fourth, no session in the past 7 days. If the client hasn’t trained in a week, they’re starting to fall off rhythm.
  • And finally, no upcoming sessions booked in the next 7 days. If they’ve got nothing on the calendar, they might already be checked out.

Each of these triggers carries a different weight, so the system scores them accordingly.

  • If any of the first three are true - missed payment, session one not completed, or a missed progress check - the client is flagged as high risk, and marked in red.
  • If either one of the last two are true - no session in the past 7 days, or no upcoming sessions - they’re marked medium risk, in yellow.
  • But if both of those last two are true, that’s a clear sign they’ve gone off track, and they’ll be marked in red, as high risk as well.

This scoring system helps you prioritize who needs support most, so you can step in before it’s too late. Remember to turn all those reds and yellows into greens! The quicker you act, the better your chance of keeping these clients engaged and consistent.
