Can't Book a Personal Training Session

If you're trying to book (or help someone book) a personal training session and the app won't let you — a blank screen, a greyed-out time picker, "no trainer assigned," an "unfunded session" message, or an outright error — this article walks through the most common causes seen in support tickets and what to check first.

This issue shows up across all three apps: members booking in the Client App, trainers booking on behalf of clients in the Trainer App, and staff booking PT onboarding/events in Manager Suite.

Symptoms

Reported symptoms fall into a few recognizable patterns:

  • Tapping "book your session now" in the Client App returns an error instead of opening the booking screen
  • The booking screen goes blank, or there's no link/button to book a personal training session at all
  • The app shows "no trainer assigned" even though the member has an assigned trainer
  • The app shows a different trainer than the one the member actually works with, or a trainer/client can't find each other in the booking flow (the member sees only one coach when they should see another; a trainer's app shows themselves, not the client's actual trainer, with no way to switch)
  • The app shows trainers or availability for a different club location than the member's home gym
  • The date/time picker is greyed out or won't drop down when a trainer tries to schedule a client (reported on iPad/Trainer App)
  • A message says the member needs to buy a package before booking, or a session shows as "unfunded" even though sessions appear to be available
  • Error: Item code PTKO is not available in Business Unit [XXXX]. This may be because the item has a future start date/time or is not available online. (10033) — seen when trainers try to schedule a Kickoff (KO) session shortly after the sale
  • In Manager Suite, booking a PT onboarding or other event fails with: "unable to complete event due to no location being selected for the event"
  • The app glitches or logs the member out partway through booking
  • The member is blocked from their booking calendar because they're prompted to complete a required training/review first

Cause

Based on the tickets reviewed, "can't book" is not one bug — it's a symptom with several different underlying causes:

  • Trainer or location assignment problems. The member's account isn't linked to the correct trainer, or is linked to a trainer/location that doesn't match their actual home club or coach. This appears to be an account/roster data issue rather than something the member can fix from their end.
  • Package not funded / session limit reached. The member has used up a purchased package, or a newly purchased package hasn't fully processed. One ticket confirms a newly-sold Kickoff session can take several minutes to become bookable after the sale completes.
  • Business-unit / item availability mismatch. The PTKO not available in Business Unit error suggests the session item isn't configured as available online for that specific club/business unit at the time of booking.
  • Location sync between point-of-sale and scheduling. One club reported Manager Suite bookings failing with a "no location selected" error and suspected a sync gap between their POS/ABC system and Enhance — this was not confirmed or resolved in the ticket text.
  • General app glitches. Blank screens, greyed-out selectors, and logout-during-booking issues were reported without a confirmed root cause in the ticket data — these may be device-, network-, or session-specific.

Note: Most of the sampled tickets are single-message, bot-created tickets that capture the customer's report but not the agent's internal resolution. Where the actual fix isn't documented in the ticket text, that's called out below — treat those steps as the best available guidance, not a confirmed procedure.

Solution

Option 1: Trainer or location doesn't match / "no trainer assigned"

If the app shows the wrong trainer, no trainer, only one coach when there should be more, or trainers/availability for the wrong location:

  1. Confirm with the front desk or PT manager at the member's home club which trainer and location should be on file.
  2. Ask club staff to verify and, if needed, correct the trainer assignment and home-location on the member's account.
  3. Have the member log out and back in (or refresh the app) after the correction is made.

This was reported by trainers and members alike, and in every case in the sample the fix required a staff-side correction to the account/roster data — there isn't a member-facing setting to change this.

Option 2: "Need to buy a package" or session shows as "unfunded"

  1. Confirm with club staff how many sessions the member has remaining and whether a recent purchase has fully posted.
  2. If a package was just purchased, wait a few minutes and try booking again — one ticket confirmed newly-sold sessions can take time to sync before they're bookable.
  3. If the package should be active and the error persists, staff should check the package/funding status on the account directly rather than relying on what the app displays.

Option 3: Kickoff (KO) session — "Item code PTKO is not available" (error 10033)

  1. If this happens right after a sale, wait several minutes and retry — the item may not have synced yet.
  2. If it persists beyond that, this points to the KO item not being configured as available online for that business unit — escalate to support with the club/business unit number and the exact error text.

Option 4: Manager Suite — "no location being selected for the event"

This has been reported as a possible sync issue between the point-of-sale system and Enhance, but was not confirmed as resolved in the available ticket data.

  1. Try selecting the location explicitly on the event before saving, if the field allows manual selection.
  2. If the error persists, escalate to support with the club name, the event type being booked (e.g., PT onboarding), and a screenshot of the error — this needs engineering/SME confirmation of the actual cause.

Option 5: Greyed-out date/time picker or "no dropdown" when scheduling a client (Trainer App)

  1. Confirm the client's package/session is funded and active (see Option 2) — an unfunded or exhausted package can present as a greyed-out or unresponsive picker.
  2. Try closing and reopening the scheduling screen, or logging out and back in.
  3. If the picker stays greyed out with an active, funded package, escalate to support with the client's name and a screenshot.

Option 6: Blank booking screen, app glitches, or gets logged out while booking

  1. Log out and log back in.
  2. Delete and reinstall the app, then try again.
  3. If the issue continues after both steps, escalate to support — include device type/OS version if available, since one report included this detail and it may be relevant to diagnosis.

Option 7: Blocked by a required training/review before accessing the calendar

One ticket describes members being unable to reach their booking calendar because they're first prompted to complete a training review, with staff asking if this can be bypassed. No resolution is documented in the available data — treat this as needing SME/product confirmation on whether the requirement can be waived and by whom.

Prevention

  • When a member's trainer or home club changes, have staff update the assignment in the system promptly rather than waiting for the member to report a booking failure.
  • Encourage staff to confirm package funding has posted before telling a member a newly purchased package is ready to book.
