If you're a club staff member who can't cancel a client's subscription or package in Manager Suite — or you're fielding a member's request to cancel their personal training agreement or membership — this article covers what's evidenced from support tickets and how to handle each case.

Symptoms

Canceling in Manager Suite / Back Office (staff-side):

  • Attempting to cancel a client's subscription or package returns an error such as "not found" or flags it as "subscription not found," even though the client and package clearly exist.
  • This can happen on a package that internal notes/remarks already describe as previously canceled — the system won't confirm the cancellation or let you re-attempt it, leaving staff unsure whether billing will actually stop.
  • An account can appear with both a Canceled and a Paused status at the same time, which raises the same "will billing actually stop" concern.
  • Force Renew and Force Cancel options for EFTs (electronic draft/payment agreements) can be unavailable in the back office, reported across brands.
  • Staff may need to deactivate/block a specific package from further session use, separate from a standard cancellation.

Member-initiated cancellation/refund requests (Client App, routed through support):

  • A member emails asking to cancel a personal training agreement or membership "so I don't keep getting charged," sometimes while also reporting they can't log into the Client App.
  • A member formally requests cancellation and disputes the agreement terms — for example, saying they were only told about a specific number of sessions and were not clearly informed the agreement was a multi-month commitment.
  • A member requests immediate cancellation and a refund, citing reasons such as financial hardship, relocation/non-residency, or a cancellation window they believe still applies.
  • A staff member flags a specific case where a client was able to self-cancel shortly before their next scheduled draft, and asks whether that should have been allowed.

Cause

Manager Suite errors ("not found," Canceled+Paused, EFT force actions unavailable): Not confirmed. Based on the reported pattern, these errors tend to involve a subscription/package record that is already in a canceled or otherwise inconsistent state before a cancellation is attempted, so Manager Suite may not find an active record to act on. This has not been verified by Engineering — treat it as an unconfirmed working theory, not a documented cause (see Publishing Notes).

Member-initiated cancellation/refund requests: This is not a bug. Personal training agreements and membership contracts — including their commitment terms and cancellation windows — are set and owned by the individual club/franchise location, not by Enhance Tech centrally. In the reported case with full context, tech support replied that it could not act on the member's request and directed them to the home club instead.

Reported cancellation shortly before a draft: Not confirmed. One ticket flags a client who was able to self-cancel within days of their next scheduled draft, with staff asking whether the system should have blocked that. Whether this reflects a system gap or expected behavior is unresolved in the source data — do not state a specific cutoff (e.g., a day count) as confirmed policy anywhere in customer-facing material until Product/Engineering confirms it.

Solution

Option 1: "Subscription not found," already-canceled package, or Canceled+Paused status

There is no confirmed self-service fix. Escalate to Enhance Tech Support with:

  • The client's name and account/agreement number
  • The exact error text or a screenshot
  • The status currently shown in Manager Suite (e.g., Canceled, Paused, both)
  • An explicit note if your priority is confirming that no further billing/draft will occur, since the error alone doesn't confirm that

Support can manually verify the subscription's billing status and stop future drafts on the back end while the underlying issue is investigated.

Option 2: Force Renew / Force Cancel EFTs unavailable in the back office

If Force Renew or Force Cancel is unavailable for an EFT, do not assume the draft will or won't process as-is. Report it to Enhance Tech Support with the affected brand(s), club, and account so it can be handled manually and investigated.

Option 3: Member requests to cancel a PT agreement or membership, or asks for a refund

These requests are handled at the club level, not by Enhance Tech Support directly:

  1. Do not attempt to cancel the agreement or approve a refund through a support ticket.
  2. Direct the member to contact their home club directly — in person or through the club's own member contact process (e.g., an online inquiry form) — so club staff can review the agreement and process any cancellation or refund per that club's terms.
  3. Do not confirm or deny a specific cancellation window (number of days) to the member — that comes from the signed agreement and/or the club, not from Enhance Tech Support.
  4. If the member also reports being unable to log into the Client App, treat that as a separate access issue — it doesn't change who is responsible for actioning the cancellation.

Option 4: Deactivating/blocking a specific package from further use

This is a distinct request from a standard subscription cancellation. Contact Enhance Tech Support with the club, package name(s), and reason so the package can be blocked/deactivated on the back end. No self-service path for this is confirmed in the source tickets.

Option 5: A client canceled shortly before their next scheduled draft and you're not sure it should have been allowed

Report the specific client, package, and draft date to Enhance Tech Support so it can be reviewed. Do not tell the member or other staff what the "correct" cutoff should be — this has not been confirmed (see Cause and Publishing Notes).

Prevention

  • No confirmed prevention step exists for the Manager Suite "not found" / Canceled+Paused / EFT force-action issues — report new occurrences so a pattern can be identified.
  • For member contract disputes: several requests in this set center on members saying commitment terms weren't clearly explained at sign-up. Clear, documented communication of commitment length and cancellation terms at the time of signing may reduce these disputes, but this is not a confirmed process fix — flagging for a support/franchise-ops SME to weigh in before this is stated as guidance.
