Manager Suite: "Access Code Already in Use" Error and Lockouts

If a Manager Suite user can't log in because every access code they generate returns an "access code is already in use" error, or their account appears locked out after repeated failed attempts, this article covers what's been reported and how to get it resolved.

Symptoms

  • A Manager Suite user tries to log in using an access code and repeatedly gets an error that the code is already in use.
  • After many failed attempts (one reported case: 13 attempts), the account appears to be locked out.
  • Separately, some staff report simply not having Manager Suite access yet and needing it granted (e.g., a staff member set up as a PT Manager who still can't get into Manager Suite) — this looks like an access-provisioning gap rather than a code error, but shows up in the same ticket population and may share a cause.

Cause

Not confirmed. The ticket data shows the symptom (repeated "code already in use" errors leading to an apparent lockout) but no ticket in this sample includes the agent's diagnosis or the backend fix that was applied. A plausible explanation is that a stale or already-consumed access code isn't being cleared/expired correctly before the next login attempt, but this is a guess, not a confirmed root cause — flag for Engineering review.

All three tickets found for this pattern in the sample fall within a narrow, recent window (August 4–24, 2026), which may indicate a recently-introduced or recently-worsened issue rather than a long-standing one. Worth flagging to engineering as a possible regression to check, rather than treating as steady background noise.

Solution

Option 1: Stop retrying and escalate immediately

Because repeated failed access-code attempts appear to compound into an account lockout, don't have the user keep generating and retrying codes. Escalate to Enhance Support (see below) as soon as the "already in use" error repeats more than once or twice.

Option 2: Escalate to Enhance Support for a manual unlock/reset

No self-service fix is evidenced in the ticket data. Contact Enhance Support with: - The user's full name and role (e.g., PT Manager, GM, AGM) - Club/location name - Approximately how many login/access-code attempts were made and over what time period - Whether this is a new Manager Suite user who has never successfully logged in, or an existing user who was previously able to log in

Prevention

Not established from the ticket data — there isn't enough evidence to state what causes the stale/duplicate code condition in the first place, so no reliable prevention step can be given yet.
