Mastering the Calendar

 Staying busy is good. Staying organized is better. The Calendar gives you full control of your schedule, without having to rely on the front desk. It’s all in your hands. Let’s break down how to use it.

Tap the Calendar icon on your toolbar to open your full schedule.

This is where you’ll see everything, upcoming sessions, requested sessions, missed sessions, completed sessions, and even blocked time you’ve added with the agenda blocker.

Tap the Refresh button anytime to update your calendar.

And if you ever need a quick reminder of what each color tag means, just tap Info to see the full legend.

View control allows you to flip between daily, weekly, and monthly views.

  • Filters let you narrow down sessions by Category, session status, Funding Status, or Busy event type.

    Just choose what you want to see, and click Apply. To remove filters, click back on the filter icon, and select Clear filters.

Swipe left or right to move through months, weeks, or days, depending on your current view, or use the Month button to select the exact month and date.

WHAT THE COLORS MEAN

Your sessions are color-coded so you can get the session status at a glance.

  • Blue means the session approved, which is booked and confirmed.

    If you schedule a session yourself through the Trainer App, it’s automatically confirmed and marked in purple.

  • Yellow means the client has requested the session, but it’s awaiting you to confirm. Once you do, yellow switches to blue. You want to avoid having yellow sessions in your calendar. Get into the habit of checking your calendar frequently, and as soon as you see a yellow session, take action. Either confirm it or suggest a different time.

  • Green sessions are those that are Completed, and completed and acknowledged.

    Once you start and end a purple session, it turns green, so you can easily see which sessions you’ve delivered. Acknowledged sessions are also green. These are the sessions that have been started and ended, and the client acknowledged the session from the client app.

  • Black means the session was missed. This happens when the session is scheduled, but has not been started, ended, or canceled, so the system flags it as missed. Once the session turns into status missed, you can’t start, end or cancel these sessions, you can only reschedule them. Bottom line: don’t leave sessions hanging, and update their status in real time. You can start the session 30 minutes before the scheduled session time, all the way until an hour after the session time. For example, if the session is scheduled for 7pm, you can press start at 6:30, all the way until 7:59 pm. When the clock ticks 8pm, you will no longer be able to start this session, and the status will turn to missed.

  • Light gray blocks are non-session times that you’ve manually blocked off for meetings, breaks, or anything else that’s not a client session. You will appear unavailable, and clients won’t be able to book you during these hours. To remove an agenda blocker, simply click on it, and confirm that you wish to remove this blocker from the calendar, by clicking on the “Delete Event” button.

  • Unfunded sessions are sessions that have been scheduled but not yet paid for. They act as a placeholder, to hold a spot for your client. You won’t be able to start or end an unfunded session until payment is completed. Once the client pays, the session automatically becomes funded.

Check your calendar daily.

Clear the yellow. Keep things moving.

Let’s explore the calendar, your new scheduling bff. The Calendar gives you full control of your schedule, without having to rely on the front desk. It’s all in your hands. Let’s break down how to use it.

This is where you’ll see everything, upcoming sessions, requested sessions, missed sessions, completed sessions, and even blocked time you’ve added with the set as busy feature.

Right at the top you’ve got two key buttons:

  • View control allows you to flip between daily, weekly, and monthly views.

  • You can scroll up and down, and move between days, weeks or months by swiping right or left. The Month button enables navigation between different months quickly, providing flexibility in viewing your calendar.

  • Filters let you narrow down sessions by session status, see only blocked time, or check for unfunded sessions.

    Just choose what you want to see, and click Apply. To remove filters, click back on the filter icon, and select Clear filters.

  • Light gray means the session was missed. This happens when the session is scheduled, but has not been started, ended, or canceled within an hour of its booking, so the system flags it as missed. For example, if the session is scheduled for 12pm, and you have not taken any action on it by 12:59, it will turn to status missed by 1pm. Once the session turns into status missed, you can’t start, end or cancel these sessions, you can only reschedule them. Bottom line: don’t leave sessions hanging, and update their status in real time.

  • Red blocks are non-session times that you’ve manually blocked off for meetings, breaks, or anything else that’s not a client session. During these blocked hours, you’ll appear unavailable to the clients, and they won’t be able to book you.

  • To remove a blocked time, just click on the red block, select Delete, then confirm your choice by clicking Confirm.

  • You can also add notes to these blocked slots, for example, if you need to remind yourself of a specific meeting. Once the blocked time has passed, you can mark it as Completed. It will still appear on your calendar, but will be labeled as completed for your reference.

  • Dark gray blocks are unfunded sessions. These are sessions that have been scheduled but not yet paid for. This acts as a placeholder to hold a spot for your client. You won’t be able to start or end an unfunded session until payment is completed. Once the client pays, the session automatically becomes funded.

Check your calendar daily.

Clear the yellow. Close the gray. Keep things moving.
