Scheduling Sessions

If you want to stay fully booked, you need to own your schedule. Great trainers don’t leave their calendars to chance—they lock in a solid plan with their clients and get those sessions booked. Don’t wait around for clients to do it. You’re there to lead and make it easier for them to show up.

And don’t rely on the front desk either, you’ve got everything you need right in your Trainer App. Book it yourself. Stay in control.

Here’s how to make it work for you.

You can book a session from:

  • The Homepage, by clicking on the Schedule a session button,
  • From The Calendar
  • Or directly from the Client List by selecting the client and tapping “Schedule a new Session.”

When you tap Schedule a Session, you access the booking flow. From here you can select “ Schedule a Session”, to  Schedule a session with a client, or “Busy Event”, to block your calendar for non-session activities. We cover this in a separate video.

Let’s walk through how to book a session using the Client Session tab.

First, tap the client name field. You can search clients by name, phone number, email, or member number, or just scroll through the list until you find who you’re looking for.

Once you select your client, select the session type, Session duration, Date and time. The location will auto-fill based on the client’s membership. If a client does not have an active package, the app will notify you, and you will be able to send them a package, or book an unfunded session.

Single lets you book one time slot, with the option to repeat it as a recurring booking. If you don’t want it to recur, just leave it as a single slot. Multiple allows you to book several different time slots in one go. Select Multiple, then tap the time blocks you want in the calendar. To unselect a slot, tap it again. Let’s complete the single booking flow.

Tap single, and select date and time. For regular clients, set up recurring bookings.

Check the “Repeat Sessions” toggle, select for how many weeks to repeat, choose the days, and hit Confirm. Once you input all the information, go ahead and click on book a session.

From here, you can edit or confirm your booking details.

Once you click confirm, a pop-up will show the booking details. If the client is unavailable, the system will let you know.

If they’re out of sessions, you can still reserve the slot as an unfunded session that will become funded once they purchase their next package

Once your booking is done, the calendar updates immediately, and the client gets a notification through the Client App.

IMPORTANT RULES

  • You can now book sessions for future dates and up to one hour in the past from the current time. This added flexibility better reflects real-world scheduling needs, making it easier to accommodate last-minute changes or delayed bookings.
  • When clients book through their app, they have to do it at least 14 hours in advance, which helps you stay in control of your schedule.
